This notice explains what Quantum Marketing collects when you apply for a role, why, how long we keep it, and what you can ask us to do with it.

What we collect

When you apply we ask for your name, email address, phone number, the first part of your postcode, the days you can work, how far you can travel, whether you have the right to work in the UK, and your answers to a few questions about the role. You can attach a CV. If the role has a minimum age we ask whether you are over it. We do not ask for your date of birth.

We keep only the first part of your postcode, such as BT80. The rest is discarded as soon as we have worked out how far you are from the role.

If you email us a CV instead of using the form, we keep the email address you sent it from, your name as it appeared on the email, and the attachment.

Why we collect it

To consider you for the role you applied for, and to contact you about it. The legal basis is taking steps at your request before entering into a contract, and our legitimate interest in running a fair recruitment process.

We will not add you to a marketing list. If we would like to contact you about future roles after your application closes, we will ask first, and you can say no.

How applications are sorted

Software helps us sort applications. It checks fixed things, such as whether you can get to the location and whether your available days match the role. It may also produce a summary and a score to help the reviewer read applications in a sensible order. Before any of that, your name, contact details and other identifying details are removed from what the software sees.

A person at Quantum makes every decision. Nobody is turned down automatically. You can ask a person to look again at any outcome using the human review form, and we will reply.

Who sees it

Quantum staff involved in recruitment. Our hosting provider, our email provider, and, for the sorting step described above, an AI service that receives only the version with identifying details removed. Each of these processes data on our instructions and cannot use it for anything else. We do not sell or share candidate data.

How long we keep it

Twelve months after your application closes, then it is deleted, including your CV. If you join us, your application becomes part of your record with us. If you ask us to delete your data sooner, we will, unless we are required to keep it.

Your rights

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, and object to how we use it. You can also complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.
